Middle School Admissions
Like many independent schools in the Bay Area, we manage our admissions process through Ravenna, the online application program for private and independent schools.
You’ll use Ravenna to submit forms, to schedule an interview and to sign up for Information Nights and Workshops.
- Step 1: Create an account in Ravenna.
- Step 2: Sign up for an Information Night.
- Step 3: Submit your initial application and application fee by Jan. 18
Applications for consideration in the first round of applicants are due by January 18, but we encourage you to submit an application as early as possible. Each year some parents report that they wish they had begun the process earlier.
A submitted application is required to sign up for a workshop and parent interview.

Taking a tour to see Helios in action is highly recommended and the best way to understand our approach more deeply. Small group tours with a current Helios parent or administrator offer parents the opportunity to see aspects of our program highlighted at Information Nights. You will see students engaged in learning and have the option to speak with them and gain their perspective of the school.
Sign up on Ravenna for one of these dates: Oct.23, Nov.14, Dec. 10, Jan. 9, Jan. 28, Feb. 7. Tours designed specifically for middle school take place on: Dec. 6, Jan. 15, Feb. 12.
Spaces are limited to give parents a personalized experience of Helios.
Helios makes enrollment decisions independent of a family’s need for financial assistance.
Helios uses a 3rd-party system, NAIS' School and Student Services, to help determine financial awards to families and we encourage you to apply if your family needs assistance.
Financial aid applications are due on February 8th.
We accept an IQ test, an achievement test or a Qualitative Assessment (QA), as part of the application process.
We recommend scheduling one as soon as possible as testers’ schedules are quite busy.

Attending an on-campus workshop is a required step in the application process, and a wonderful way for your child to experience a little bit of Helios. It helps your child to get a feel for our school and for us to see your student in a peer group setting.
Dates, times and sign-ups are available in Ravenna.
This 30-45 minute conversation is an opportunity for you to share more about your child and ask any remaining questions about Helios. Sign-ups are available via Ravenna.
If two parents share guardianship of the child, both are required to attend the interview.
Admissions decisions will be sent via Ravenna on March 21. Helios is part of the Independent Schools of the San Francisco Bay Area (ISSFBA), a consortium of schools that agree to release decisions on the same day. As well, we agree that the week starting March 21 and ending when decisions are due back from parents, March 28, is a "Quiet Week." Out of respect for parents' decision-making process, we will not contact you. However, if you would like to speak to anyone at Helios or come back for a tour, please call Susan Stanat, Director of Admissions, at 408-475-0017. We are happy to speak with you and arrange a revisit.
Decisions from Helios will be one of three: acceptance to Helios, decline from Helios or entry in to the wait pool.
Students who apply and are not admitted due to inadequate space are automatically placed in the wait pool. The wait pool is not a hierarchical list. Students from the wait pool will be admitted based on current class makeup. Families will be approached as soon as possible if their student is a possible fit for an open class space.
January 18, 2019: Initial application due

February 15, 2019: Supplemental forms and IQ or Achievement Test report due
March 6, 2019: Qualitative Assessment due, if submitting
March 21, 2019: Admissions decisions released via Ravenna
March 28, 2019: Enrollment Contracts and Deposits Due
